Video Conference
Cancellation Policy
- Less than 48 hours - Scheduling fee plus 100% of booked time.

2 to 4 days - Scheduling fee plus 50% of booked time.

4 days plus - Scheduling fee only.
- Video Conferencing 2000 Ltd. and its affiliates are not responsible for any delays, postponements, ISDN failures or interference, cancellations or damages of videoconferencing due to unforeseen circumstances.
Multipoint Conference
Cancellation Policy

Cancellations are subject to the normal conditions applying to room hire and are in addition to the following:
- Conferences cancelled prior to the pre-conference testing and set-uptime (if any) are non billable.
- Conferences cancelled during the pre-conference testing and set-up time or immediately following the actual call start time will be charged for network connection time (if any) and total scheduled bridge time.
- Individual ports canceling prior to the pre-conference testing and set-up time (if any) are non billable.
- Individual ports canceling during the pre-conference testing and set-up time or immediately following the actual call start time will be charged for network connection time (if any) and total scheduled bridge time for that port.
Equipment Hire
1. INSURANCE
Insurance will be charged at the rate of 10 % of invoiced hire value. All insurance claims are subject to an excess of £200 per claim.
2. DELIVERY & COLLECTION
Delivery will be arranged by Video Conferencing 2000 and charged at cost. Return of the units will be the responsibility of the hirer and will be no later than two days after the end of the hire period.
3. BASIS OF CHARGE
The hire rates apply as quoted in writing and will be charged for actual days of hire. Goods will be delivered during the day preceding the hire period.
4. PRODUCT FAILURE
In the event of equipment failing to operate in accordance with published specifications, the hirer must notify Video Conferencing 2000 by fax / phone and confirm in writing otherwise a credit against the hire charge will not be allowed.
5. PENALTY FOR LATE RETURN
In the event of equipment not being returned on the appointed day, hire charges will continue until equipment is returned.
6. CANCELLATION
In the case of equipment being shipped before notice of cancellation is received in writing then one full day's hire fee plus delivery and collection charges will apply. No charge will be made in the event that written notice of cancellation is received by Video Conferencing 2000 before the equipment leaves its premises.
7. DAMAGE
Any damage to or loss of equipment during the hire period or return transit will be covered by insurance but the hirer will be liable to pay the excess of £200 per claim. Additionally, the hirer will be responsible for any loss suffered by Video Conferencing 2000 until the necessary repairs or replacements are completed. Such loss will be limited to the standard daily hire charge on the current price list for each day the equipment is unusable.
8. WARRANTIES
Video Conferencing 2000 warrants that the equipment is of satisfactory quality and reasonably fit for the purpose of video conferencing. Any claims arising from the breach of warranty or other breaches of contract shall be restricted to a refund of appropriate hire charges. Video Conferencing 2000 shall not be liable for any consequential loss of whatever nature unless arising from death or personal injury caused by negligence.
9. LABELLING OF PRODUCT
No marking or labeling of product is permitted if removal of same causes damage to the equipment. Paragraph 8 of these Terms and Conditions apply.
10. ORDERING
All orders must be confirmed in writing and accompanied by an official order mandate. An order is not binding on Video Conferencing 2000 until confirmed in writing by it.
11. PAYMENT TERMS
All hire charges fall due for payment at the end of the hire or at 30 days from invoice whichever is earlier. The invoice will be issued after the commencement of the hire period relating to more than one hire will give a breakdown of charges in respect of each.
12. LAW APPLYING
The agreement is subject to the law of England and Wales whose courts shall have jurisdiction over any matter arising from it. Video Conferencing 2000 standard terms and conditions of trading apply for all hire contracts. Copies of which are available on request.
